Pesky Paper Clutter

Since founding Simply Organized Life in 2005, the question I am most asked is "What to do with all those pesky paper piles?"

After a busy summer filled with lots of activities outside the home, I found myself with some sizable paper piles in my office. I made the piles go away and am only left with my current project folders on my desk. Here's what I did: 

1) Set Aside the Time

Being a professional organizer, I know how to handle paperwork and (gasp) actually enjoy it. However, several rounds of house guests and our busy summer schedule kept me away from my home office where the paper piled up. At the first opportunity, I scheduled time in my calendar to deal with the paper on my desk. 

2) Just Do It

Paper piles can be pretty intimidating. It is much easier (and more fun) to check your e-mail, surf Facebook or do just about anything other than sorting through the papers. What I find works for me is to set a timer for a short amount of time (say 15 minutes) and just starting dealing with the paper pile top down. If a bill appears, I pay it. If project papers appear, I schedule time in my calendar or create a project file. Most people can handle those types of action papers, but what about those pesky papers that you *might* need to refer to in the future? 

3) Put it Away 

Everyone needs a system for those little bits of paper that we want to refer to in the future. The thing is that if we cannot retrieve those papers when we need them, what is the point of keeping them? 

I utilize a combination of paper files, like the family binder I referred to in my "Get Organized for Back to School" post, and am slowly shifting to a paperless system for other things. For my children's artwork I either take a photograph or scan the items. These things are stored by month and year with our digital photos. For other things, like interesting magazine articles or websites, I scan and save to Evernote, which I can then search at a later date.

Cut Electronic Clutter


In the March edition of "Your Simply Organized Life" I shared a bit more about my New Year's Resolution to keep my e-mail in-boxes near zero. 

Electronic clutter, particularly e-mail, is very much like paper in that it just keeps coming at us.

Here are some super simple tips to organize your electronic files:

1) Automate Backups
Let's face it...stuff happens. Backing up your electronic files is the first step in getting organized electronically. Most people are not very good about backing up their files regularly, so buy lunch for your favorite techie (or hire a computer service company) and have them set up automated backup. This can be done with an external hard drive or a cloud solution such as CrashPlan or Carbonite

2) Set Up Electronic File Folders
Although search features have come a long way, I still recommend setting up electronic file folders that mirror your paper file folders (assuming those are in good order, if not, I can help). The vast majority of us need file folders in our e-mail program as well as on the drive where we keep other electronic files. For digital photos, set up file folders based on how the photos will be used (i.e. by subject or time). 

3) Delete Early and Often
While a ton of files on your computer is not exactly like a cluttered desk, the key issue in both cases is retrievability. The only reason to keep anything (electronic or otherwise) is to be able to somehow use it or refer to it in the future. The more you let go of, the easier it will be to find what you really need.

October Seminars

October will be a busy month for me with three seminars, including my first "international" seminar in Windsor, Ontario, Canada!

Home Office Organizing Tips

Even if you do not own a business, nearly everyone needs a home office (or kitchen corner).

Last week, I wrote a guest blog for Entrepreneurial America titled "Home Office Organizing Tips for Solopreneurs". If you own a business, these tips will help you be a success in your chosen field. Non-business owners can glean a few tips for the home office as well.

Electronics Recycling Event

Once again the Ann Arbor Public Schools in cooperation with Apple Computers and the University of Michigan is hosting two events for local businesses, non-profits and residents to safely recycle old electronics.

On May 7 and 8, 2009 from 9 a.m. to 2 p.m. local businesses and non-profits can drop off old electronic equipment for recycling at the Washtenaw Intermediate School District at 1819 S. Wagner Road in Ann Arbor.

On Saturday, May 9, 2009 from 9 a.m. to 2 p.m. local residents can dispose of old electronics for free at Pioneer High School on 610 W. Stadium Road in Ann Arbor. This is a popular event, so line up early at the Main Street Entrance. Last year the event filled 11 semi-trailers with old equipment and kept an estimated 145 tons of waste out of local landfills.

On-line Productivity Seminar

I came accross this on-line seminar earlier this week in a random fashion. This seminar about time management and personal productivity runs for about 35 minutes. There are some great tips to make it worth your time. I particularly like what Eben Pagen has to say about multitasking.

Until last week I had never heard of this guy. It turns out he has made millions as some sort of dating guru. Not something I am particularly interested as a happily married mother, but the guy does know a thing or two about personal productivity. That being said, stick to his free videos and keep you hard earned dollars in your pocket.

15 Minutes of Fame?


This is a quirky little snapshot of me (center) with Gail Nicklowitz (left) and Carol Kamm (right) at a Women Business Owners of Southeast Michigan meeting earlier this summer. I remember my colleague, Hillary Handwerger, taking this photo but was surprised when it appeared on the WBO website recently. It just goes to show that you never know where you will show up on the web these days.
I was also surprised yesterday while driving by the Photo Generations studio in downtown Dexter. Low and behold there was a big portrait in the window of my two children! Let me know if you are downtown Dexter and see the "boy and his dog photo" in the window. It's our little 15 minutes of fame!

Fancy Soaps

This morning I headed out to the Dexter Daze festival in Dexter, Michigan with my child. We had a great time chatting with the vendors, listening to live Caribbean music (who would have thought here in the Midwest?) and stopping at Bearclaw Coffee for our morning snack.

This year there was a new vendor by the name of Paper Street Soap. The folks from Paper Street out of Dundee, Michigan (famous for Michigan's Cabela's location--this is the Midwest, after all) had beautiful wonderful smelling soaps.


The thing is that I am a pretty frugal person (okay, I did spurge on a cup of joe, but packed our snacks) and $7 seems like a lot to spend on one bar of soap, especially when Ivory serves me just fine at about $1.50 for three bars! I wish the folks at Paper Street success in their new business and hope they find lots of customers who, unlike me, are willing to splurge on soap.

Home Based Business

In my practice as a professional organizing consultant, I often work with owners of home based businesses. I help them set up spaces that encourage efficiency and order. In the process, I hope that this also improves their bottom line.

On Tuesday, July 10, 2007 CNN.com featured an interview with a successful home based business owner. Interestingly enough, one of her recommendations for success was to hire a professional organizer. See the bottom of the article for this tip.
